Venue Terms & Conditions
Behaviour and Conduct
Visitors to Hillarys Beach Club are expected to conduct themselves in a respectful and responsible manner. Any disruptive or inappropriate behaviour may result in eviction from the premises.
Reservations and Bookings
Reservations are subject to availability, and specific terms and conditions may apply. Booking fees or deposits may be required for certain events or functions.
Age Restrictions
Some areas of Hillarys Beach Club may have age restrictions. Please adhere to posted guidelines and restrictions.
Liability
Hillarys Beach Club is not liable for any loss, damage, or injury sustained during your visit. Guests are responsible for their personal belongings.
Photography and Filming
Photography and filming may occur on the premises for promotional purposes. By entering the venue, you consent to being photographed or filmed.
Events and Promotions
Special events and promotions are subject to specific terms and conditions. Details will be provided for each event. All event menus and special guests are subject to last minute changes depending on availability.
COVID-19 Measures
Guests must adhere to any health and safety measures in place, including those related to COVID-19. Non-compliance may result in denied entry.
Management’s Discretion
Management reserves the right to refuse entry or service to any individual and to amend these terms and conditions as needed.

Function Terms & Conditions
Food
- To ensure availability of food, customers must confirm their choices at least 7 working days prior to the function. Food platters must be paid in full before the start of the function.
- The menu is subject to change without notice due to supplier and seasonal availability, but every effort will be made to provide the food requested.
Drinks
- As determined by the Australian Responsible Service of Alcohol guidelines our staff will monitor the consumption of alcohol during your event and if a guest appears to be intoxicated, our staff reserves the right to refuse service.
- We also reserve the right to stop service at any time, and no refunds or discounts will be given for any unopened or unused drinks.
Deposit
- Bert’s Ballroom & the Private Dining space both require deposit to be paid before your function is fully booked.
- Other spaces require a $15/Per Person Pre-Authorisation, with no funds taken out unless in the event of an unreported cancellation at least one day before.
- Function bookings are not finalised until a payment has been received and the booking is approved by management.
Cancellations
- All large functions (over 15 people) cancellations must be made in writing and confirmed by Hillarys Beach Club within 14 days of the function.
- Cancellations made after this period are not entitled to any refund.
- Cancellations due to COVID-19 restrictions are fully refundable.
Exceptions
Hillarys Beach Club does not host 18th birthday celebrations.
BYO & Cakes
No outside food or drink is allowed, except for celebration cakes or desserts.
Client Responsibilities
- The client is responsible for conducting their function in a legal and respectable manner, and for the conduct of their guests and invitees such as DJ’s.
- The client will be charged for any damage that occurs to property or staff.
- Management reserves the right to terminate a function or refuse service to any intoxicated guest, in accordance with Australian legislation.
- Any changes to food or set up must be provided to management in writing.
Early Access & Decorations
- Early access to the function room is available at midday on the day of the function for decorations and setup unless by prior agreement.
- The customer is responsible for all decorations, which must be approved by a manager before being affixed to the venue. The client is responsible for the delivery and collection of any external props or equipment which must be collected by 10am the following day unless by prior
agreement.
Entertainment
- Any entertainment or equipment, including props, must be approved by management in advance of the function.
- Failure to advise management may result in the entertainment being banned from the venue.
- Hired DJ’s are responsible for their own set up and equipment and must adhere to any staff instructions.
- Regulations are in place for noise levels, music, and entertainment, and we reserve the right to lower noise levels at management discretion.
Payment
- Final payment for any outstanding amounts must be made on the night of the function, upon completion of the function.
- Prices are given as a guide and vary based on the number of guests, date of function, and catering requirements.
Damage or Loss
We assume no responsibility for the loss or damage of any property belonging to the client or their guests.
Under-age Guests
Under-age guests are welcome to attend functions providing a legal guardian is with them at all times. The under-age guest must always have soft drinks ordered for them, they are not permitted to approach the bar. The wristband issued by security must be visible at all times.
Deliveries
All deliveries must be approved and be clearly marked with the date and day of the function, plus a list of items delivered. Suppliers are responsible for delivery and pickup.
